Neighbors Welcome! Rhode Island (“Neighbors Welcome,” “we,” “us,” or “our”) uses paid advertising on social media platforms, including but not limited to Meta (Facebook and Instagram) and TikTok, to invite community members to receive information about our work, participate in local events and activities, and become involved in community organizing and advocacy.
This Supplemental Privacy Policy explains what information we collect through Instant Forms, lead ads, and similar sign-up forms served through paid social media advertising, why we collect it, how we use and protect it, and the choices available to you.

When you respond to one of our paid social media advertisements and submit a sign-up form, we may collect:
Your email address
Your name (first and/or last, if requested)
Your ZIP code or town/city, if requested, to help connect you with local events, activities, or organizing efforts
Any additional information you voluntarily provide in optional form fields
We seek to limit the information requested to information reasonably necessary for the specific purpose described in the form—for example, subscribing to our email list, registering for an event, or expressing interest in volunteering.
We do not intentionally request sensitive personal information through our paid advertising forms, such as immigration status, health information, government identification numbers, financial account information, or other highly sensitive information. Please do not provide sensitive personal information unless a form specifically requests it for a stated purpose.
We do not intentionally use information collected through these forms to infer sensitive personal characteristics about individuals.

We use information collected through paid social media advertising forms only for the purposes disclosed at the point of collection or purposes reasonably related to those purposes. Depending on the form you complete, this may include:
Sending our email newsletter with organizational news, events, and opportunities to get involved
Sending action alerts and information about community organizing, public policy, legislation, elections, or advocacy activities
Following up about a specific event, meeting, volunteer opportunity, or other activity for which you expressed interest
Connecting you with a local organizing effort, event, or volunteer opportunity
Understanding, in aggregate or de-identified form, which communities our outreach is reaching and improving our future outreach
Our communications may include information about public policy, legislation, elections, community organizing, and advocacy activities, consistent with the mission and activities of Neighbors Welcome.
We do not sell your personal information. We do not provide your email address or other personal information to unrelated third parties for their own marketing purposes.
Where we request consent for substantially different purposes—for example, subscribing to our general newsletter and separately expressing interest in volunteering—we seek to make those choices clear and, where appropriate, provide separate opportunities to opt in.

Paid social media lead forms, such as Meta/Facebook and Instagram Instant Forms, are hosted and operated by the social media platform rather than directly by Neighbors Welcome.
When you submit one of these forms:
The information you enter may be transmitted by the platform to Neighbors Welcome or to a service provider authorized by us to receive and process the information.
The social media platform may independently collect and process information about your interaction with the advertisement or form under its own privacy policy and terms. That processing is separate from Neighbors Welcome’s use of the information you submit.
We receive only the information made available to us through the particular form and fields we have configured.
We do not receive your social media password, private messages, or non-public profile information through these forms.
We encourage you to review the privacy policy and privacy settings of the social media platform you use, including Meta or TikTok, to understand how those companies collect and use information independently of Neighbors Welcome.

Neighbors Welcome may use trusted third-party service providers to help us operate our programs and communications. These providers may include email marketing platforms, constituent relationship management (CRM) systems, event registration services, website and data-hosting providers, and other technology or administrative service providers.
We provide these service providers only the information reasonably necessary for them to perform services on our behalf, and we expect them to handle that information appropriately and consistently with applicable privacy and security requirements.
We may also disclose information when reasonably necessary to comply with applicable law, legal process, or a valid governmental request, or to protect the rights, safety, or property of Neighbors Welcome, our community members, or others.
We do not sell personal information or share personal information with unrelated third parties for their independent marketing purposes.

Information collected through paid social media forms may be stored in an email marketing platform, CRM system, event-management system, or other technology system used by Neighbors Welcome.
We limit access to personal information to authorized staff, volunteers, contractors, and service providers who reasonably need access to perform their responsibilities. We expect individuals and organizations with access to handle personal information responsibly and confidentially.
We take reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, disclosure, loss, misuse, or alteration. However, no method of transmitting or storing information electronically can be guaranteed to be completely secure.

We seek to retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain appropriate organizational records, or as otherwise required or permitted by law.
For general email subscribers, we generally retain contact information while the individual remains subscribed to our communications.
For event registrations, volunteer inquiries, and similar activities, we may retain information for a reasonable period after the activity has concluded in order to administer the activity, maintain appropriate organizational records, or follow up on related opportunities.
If you unsubscribe from our email communications, we may retain your email address or other limited information on a suppression or do-not-contact list solely to ensure that we honor your request and do not inadvertently send you future communications.
We periodically review our contact lists and seek to remove or anonymize information that is no longer reasonably necessary for the purposes for which it was collected, subject to legitimate recordkeeping needs and applicable legal requirements.

Unsubscribe at any time. Every recurring email we send includes an unsubscribe or opt-out mechanism. You may also contact us directly at info@neighborswelcomeri.org to request removal from our communications.
Request access. You may ask what personal information we maintain about you.
Request correction. You may ask us to correct inaccurate or incomplete personal information.
Request deletion. You may ask us to delete personal information we maintain about you, subject to legitimate organizational recordkeeping needs and applicable legal requirements.
Decline to provide information. You are not required to provide personal information through our social media forms. However, some information may be necessary to participate in a particular event, receive a requested service, or receive communications you have asked us to provide.
Signing up through a social media advertisement is free and does not obligate you to donate to, become a member of, or otherwise formally affiliate with Neighbors Welcome.
